Conversational forms in chat

Instead of an eight-field form nobody fills in, the bot asks the questions one at a time and builds the request from the conversation.

The classic contact form is where most requests are lost: eight required fields, a consent checkbox and no reply until the next day. 4chaty replaces that moment with a conversation: the bot asks one thing at a time — which service you are interested in, for what date, how we can reach you — validates the phone and email format on the spot and confirms immediately that the request has been recorded. The data arrives structured in the panel and can be forwarded to the systems you already use. Consent is requested explicitly in the conversation and recorded with a timestamp.

  • Questions one at a time, not eight fields at once — drop-off falls because each step asks for a single thing.
  • On-the-spot validation — phone number and email are format-checked before moving to the next step.
  • Configurable fields — you define what you collect for each request type (quote, booking, support, complaint).
  • GDPR consent requested explicitly in the conversation, with a timestamp and the displayed text kept as evidence.
  • Immediate confirmation to the visitor, summarising what they filled in.
  • Instant notification to the team — requests do not sit unread until the next day.
  • Routing by request type — a quote goes to sales, a complaint to support.
  • Export and integration — requests move on structured, with no manual re-entry.

Why a conversation converts better than a form

A form asks for everything at once and gives nothing back until you submit it. A conversation delivers value at every step: the visitor asks about the price, gets a useful answer, and only then does the bot ask for contact details in order to prepare an exact quote. At that point interest is already confirmed, and willingness to leave a phone number is far higher. On top of that, questions asked one at a time reduce perceived effort: nobody abandons at "What is your name?", but plenty abandon an eight-field form.

Consent, requested properly

Collecting a phone number through a chat is processing of personal data and requires a legal basis. 4chaty requests consent explicitly in the conversation, before recording the data, and keeps the evidence: the moment, the exact text displayed and the visitor’s reply. The visitor is told from the start that they are speaking with an automated assistant, in line with art. 50 of Regulation (EU) 2024/1689. Consent implied by a pre-ticked box is not valid — which is why the step is explicit and cannot be skipped.

What you collect for each request type

Not every request needs the same information. A quote needs the service, an approximate budget and a deadline. A booking needs the date, the time slot and the location. A complaint needs the order number and a description of the problem. In 4chaty you define each type separately, with its own fields and its own routing — the quote request reaches sales, the complaint reaches support, with no manual triage. The data-minimisation principle in art. 5 GDPR applies directly: do not ask for data you do not need for the stated purpose.

Frequently asked questions

How much does drop-off fall compared with a classic form?

It depends on the site, but the gain comes from two measurable causes: each step asks for a single thing, and contact details are requested after the visitor has already received a useful answer. You can compare started versus completed conversations directly in the reports.

How is consent recorded?

Explicitly, in the conversation, before the data is saved. The moment, the text displayed and the visitor’s reply are all kept as evidence of consent under art. 6(1)(a) GDPR.

Can I have different forms for different requests?

Yes. You define each request type with its own fields and routing — quote, booking, support, complaint — and the bot picks the right path based on what the visitor asks for.

Where do the collected requests go?

Structured into the panel, with an instant notification to the team. From there they can be exported or forwarded to the systems you already use, with no manual re-entry.

What happens if the visitor refuses consent?

The conversation continues, but contact details are not recorded. The bot can still answer questions from the knowledge base — refusing consent does not block access to information.
